Section 1 - Purpose and Context

(1) Western Sydney University supports the production and use of multimedia to engage and intrinsically motivate students in their digital learning environments.

(2) These Procedures:

1. apply to all forms of produced media in learning and research contexts, including but not limited to illustrated text, audio, video and animation, augmented and virtual reality (AR/VR)
2. support innovation in teaching by providing guidance on the use of immersive technologies for multimedia production
3. support multimedia production that fosters digital inclusion. 

(3) These Procedures should be read in conjunction with the Acceptable Use of Digital Services Policy, Copyright Policy, Intellectual Property Policy, Learning Technologies Policy, Privacy Policy, Records and Archives Management Policy, Student Code of Conduct and Teaching and Learning - Fundamental Code.

Section 2 - Definitions

(4) For the purposes of these procedures and associated guidelines, definitions that apply can be found in the Teaching and Learning - Fundamental Code and Policy DDS Glossary, in addition to the following:

1. Accessibility means learning materials that are able to be perceived, understood and used by all students, including those with disabilities.
2. Educational Multimedia means produced multimedia that is designed with pedagogical intent and engagement by students.
3. Feedback Video means an informal short video created to build community and provide timely feedback and encouragement to students. Video is produced by the instructor for one-time use and via desktop or mobile capture.
4. Producer means a person who creates multimedia.
5. Produced Multimedia means content with illustrated text, audio, video, animation, augmented and virtual reality.
6. Text Transcript means direct reproduction of recorded speech or sounds to text.

Section 3 - Policy Statement

(5) These procedures support the Teaching and Learning - Fundamental Code.

(6) The production of multimedia is driven by learning outcomes, accessible design, and effective pedagogical practice.

(7) Produced multimedia, feedback video, and video content must include text transcripts or a summary highlighting key points to foster inclusion of all students.

(8) All producers must ensure that their multimedia content conforms to copyright, Indigenous Cultural and Intellectual Property rights, University policies and the Creating Engaging Video Content Guidelines.

(9) Where relevant, all producers must include a statement that gives credit to, or attributes, the creator of the work from which they have borrowed. Work can include text, image, video, or other item. If the producer has made a change to the work, they must include this change in their attribution statement.

(10) Produced Multimedia must be fit for purpose and stored on the recommended University system.

(11) Where visual content providing additional content and meaning accompanies audio content, a form of notation must be available to provide equivalent explanation.

(12) All educational multimedia must be appropriate to the curriculum element, culturally appropriate and protect the privacy of any persons included in its content. (Refer to the Privacy Policy)

(13) The University will ensure that facilities are available to support multimedia production and use as set out in the Teaching and Learning - Fundamental Code and these Procedures.  

Section 4 - Procedures

(14) Procedures for producing educational multimedia are contained in the Online Engagement and Teaching Hub.

(15) Video content is designed in accordance with the Creating Engaging Video Content Guidelines.

(16) Where, in exceptional circumstances, a multimedia producer wishes to deviate from the clauses in these Procedures or the Creating Engaging Video Content Guidelines, advice from the Pro Vice-Chancellor, Learning and Teaching must be obtained.
